Thursday & Friday: packing up the rental items, tech, and all the “just in case” stuff
We spent Thursday afternoon and Friday morning packing and getting everything ready. The couple rented photo booth lights and a stand for the welcome sign from us — but if there’s one thing you can count on, it’s that Bára will still fill the car to the brim with extra things for the “what if… just in case” scenarios.

Why we bring extra items (and why it’s worth it)
Coordination is often about having a solution in your car before the problem even appears. An extension cord? Gaffer tape? A spare hook? The things nobody thinks about… until they suddenly need them.
Dračí tvrz: a magical place (and yes — they really do have a dragon)
The drive wasn’t long (about an hour), but we still used the time to go over details again and fine-tune anything that still needed closing. When we arrived at Dračí tvrz — honestly, a truly magical place — you could feel the pre-wedding tension in the air: nerves, checklists, piles of things, and that familiar feeling that there’s never enough time.
These preparations weren’t under our direct lead, but we acted as an extra helping hand for the couple. We helped wherever we could, calmed the atmosphere, and most importantly, we were “right there” exactly when we were needed.

The evening before the wedding: exhaustion, shopping, and anticipation
Preparations wrapped up in the evening. On the way home, we still stopped to buy a few things we knew we’d need the next day. Realistically, we got into bed around midnight — tired, but excited. Because we know exactly one thing: a wedding day can be anything… but predictable.
The wedding day starts at 5:30: coordinator reality
5:30 wake-up, 6:30 departure. We arrived on site around 7:30.
And even though we had a few worries, one quickly proved to be the biggest: the bride’s preparations.

The biggest stress: bridal prep and a schedule delay
During our meetings, we confirmed that two hours for hair and makeup would be enough for the bride to be ready at least 30 minutes before the ceremony. It wasn’t.

But nothing dramatic happened. The registrar waited, we bought time wherever we could, and we “re-stacked” the schedule so the day kept moving as smoothly as possible.
And most importantly, we took away an important lesson: next time, stand our ground more, protect the bride from unnecessary stress, and make sure there’s a truly realistic time buffer.

A ceremony under the trees — and music that set the mood
Despite everything, it was magical, and the guests enjoyed the wedding to the fullest.
A string quartet in the shade: a detail that creates a “wow” moment
We placed the string quartet in the shade under the trees. They sounded amazing, and their music beautifully elevated the entire ceremony.
Weather vs. the plan: when it rains, you need space — and Plan B
After the ceremony, there was that typical post-ceremony nervous buzz for a little while. But then everything started running like clockwork… except for the weather.
Luckily, thanks to the great spaces at Dračí tvrz, there was always somewhere to hide. The couple also had several games ready as a backup, so the mood never dropped.
How we “saved” the lounge corner twice (and then moved it)
We had to rescue the lounge corner from the rain twice, until we eventually moved it indoors next to the photo booth. And that’s exactly what coordination is: reacting quickly, calmly, and in a way that keeps guests feeling like “everything’s under control.”
Why Plan B is really Plan A
You can’t control the weather. But you can have options prepared and not be afraid to move things. Guests won’t remember that something wasn’t originally meant to be in that spot — they’ll remember the atmosphere.
A rain-free golden hour — and photos worth it
In the end, we got a golden hour without rain, and Katka captured our newlyweds beautifully. That exact moment when you think: “Yes. It was worth it.”

Why you don’t have to compromise your values for your guests
There’s no reason to bend your values because of a wedding — or because of guests. Your guests can absolutely handle one day without animal products. And in return, you get to show them just how unbelievably delicious a vegan menu can be. A huge thumbs up from us.
A bouquet toss alternative: ribbons instead of the classic
The bouquet toss was replaced with unbraiding and cutting ribbons. It’s a very common — and fun — alternative to the traditional version. You’ll be able to read more about this style soon in an upcoming article.
Evening fun, vendor pack-down, and 14 hours on our feet
After 7 p.m., the open dancing and free fun began, and we gradually managed the farewells with the remaining vendors. We helped with whatever they needed, and packed up some items from our rental collection that were no longer needed (in total, we used just over 30 pieces).
And then we went to say goodbye to the newlyweds.

Energy from the newlyweds and the guests (and a few tears)
The newlyweds gave us so much energy that the drive home after 14 hours on our feet didn’t feel like a problem at all. Throughout the day, the guests kept us going too — telling us how much positive energy we bring, and how amazingly we handle everything.
We won’t lie: a few times we were close to tears. And a couple of tears did fall. And not only during the ceremony.
